Data & AI Use Policy

This policy explains how StayProof AI uses your uploaded photos and other data in connection with our AI-assisted property inspection service.
1. How Your Photos Are Used
When you upload photos to StayProof, they are used exclusively to provide the inspection report service. Specifically:
- Photos are stored securely in encrypted cloud storage.
- Photos are transmitted to Anthropic's Claude AI for analysis, which identifies potential property conditions, damage, wear, and maintenance needs.
- AI analysis results are returned to you as part of your property condition report.
- Photos are associated with your inspection record and accessible to you and anyone you share the report with.
Photos are processed on-demand when you trigger AI analysis. They are not continuously scanned or processed beyond what you initiate.
2. You Retain Ownership of Your Content
You retain full ownership of all photos, videos, and other content you upload to StayProof. We do not claim ownership of your User Content.
By uploading content, you grant StayProof a limited license to store, process, display, and analyze it solely to provide the service. This license does not transfer ownership and ends when you delete your content or close your account.
3. AI Model Training — Opt-In Only
We do not use your identifiable photos or videos to train AI models by default.
If you choose to opt in to AI model improvement, we may use de-identified photo data (with personally identifiable information removed or obscured) and associated labels to improve AI analysis capabilities. This is entirely optional.
You can enable or disable AI model improvement consent at any time in your Account → Legal settings. Opting out does not affect your access to the service or report quality.
4. De-identified and Aggregated Data
StayProof may use de-identified and aggregated data (data from which individual users cannot be identified) for the following purposes:
- Product analytics and usage statistics.
- Service improvement and feature development.
- AI capability improvement, including detection of property issue types and conditions.
- Research into property condition trends (in aggregate, not linked to individuals).
De-identified data means individual photos, inspection records, and personal identifiers have been removed or aggregated such that re-identification is not reasonably possible.
5. StayProof Intellectual Property
StayProof owns its software, AI systems and workflows, report templates, issue taxonomies and classification systems, proprietary AI models trained on de-identified data, and aggregated analytics derived from service usage. These are separate from your User Content.
6. Third-Party AI Provider
StayProof uses Anthropic's Claude API to analyze uploaded photos. Photos are transmitted to Anthropic's servers via secure signed URLs. Anthropic processes photo content to return AI-generated observations.
Anthropic operates under its own usage policies. By default, Anthropic's API does not use submitted data for model training. For details, refer to Anthropic's Privacy Policy.
7. Data Retention and Deletion
Your uploaded photos and inspection data are retained as long as your account is active. Deleting an inspection removes associated photos from active storage within a reasonable timeframe.
If you delete your account, we will remove your personal data and User Content within 30 days. Note that:
- Account deletion will remove access to your inspection history and reports.
- Shared report links may stop working after account deletion.
- De-identified aggregated data derived from your usage may be retained.
You can request account deletion from Account → Legal → Delete Account.
8. Changing Your AI Consent
You can view and change your AI model improvement consent at any time in Account → Legal → Photo & AI Consent.
Toggling this setting off means we will stop including your data in any future AI model improvement activities. It does not affect data already used in aggregated training prior to your opt-out.
